Wherever our Leaders Team coaches visit new organizations, one of the first complaints we hear is about why most meetings fail, from unclear purposes to missing decision-makers. According to a study from Atlassian earlier this year, approximately 72% of meetings fail to effectively disseminate information, encourage collaboration, or accomplish tasks—meaning that nearly three out of four meetings are a waste of workers time and could have been replaced with a written memo or email.
What Makes a Meeting Productive?
Understanding why most meetings fail helps us design the kind that actually inspire performance. Recently, I attended a highly productive meeting with one of our construction clients whose employees are completing a new building project. What made this meeting so effective?
During this early morning meeting, about 40 people gathered; the meeting started on time with a clear, focused leader. He set the tone by stating the purpose upfront, welcomed everyone, and outlined the order of presentations. Each topic leader stood up, reported where they were working on the site, how many people were involved, and the expected duration of their tasks. Communication was precise and action-oriented.
The meeting lasted just 30 minutes, after which everyone was on the move. It felt like watching a professional sports team in a locker room before a big game. This meeting happens every weekday on this project. Walking the site, you can see the results of this high-performance approach—award-winning safety, a spotless job site, and a project running six weeks ahead of schedule.
Lessons from the Court
This meeting reminded me of my time competing in women’s doubles tennis tournaments. Effective communication in doubles has to be direct and strategic. For example, between points, I would say to my partner, “I’ll serve down the middle, you poach, and I’ll cover the other side.” After each point, the exchange was short, clear, and focused on action.
